Privacy Policy

Privacy first, always. All privacy settings are ON by default. Your data belongs to you and your organization. We never sell or share your information.

1. Who We Are

Presstiva is a B2B platform for the commercial print industry, operated by Dexly, LLC. This is not a social platform. We serve commercial print shops and their business relationships. Your data is accountable only to your subscribing organization.

2. What We Collect

We collect only what is necessary to operate the Platform:

  • Account information: Name, email, password (hashed), role, and authentication method (email/password or SSO provider)
  • Organization data: Company name, DBA/trade name, business type, address, contact information
  • Business records: Jobs, quotes, invoices, contacts, vendor details, product catalogs (entered by you)
  • Uploaded files: PDFs, proof images, artwork, and other documents you upload for job production and approval workflows
  • Communications: Messages sent through live chat (Huddle), portal chat, proof approval comments, and email notifications generated by the Platform
  • Shop floor data: Station scan events, timestamps, operator actions, and job stage transitions (if station tracking is enabled)
  • AI interactions: Prompts, responses, and consent records related to the CARL AI assistant (see Section 6)
  • Usage data: Page visits, feature usage (aggregated, not personally identifiable)
  • Device info: Browser type and screen size (for bug reports only, when you explicitly submit one)

3. What We Do NOT Collect

  • We do not use tracking cookies for advertising
  • We do not collect data from your other browsing activity
  • We do not build advertising profiles
  • We do not share data with third-party advertisers
  • We do not sell your data to anyone, ever
  • We do not use your business data to train general-purpose AI models

4. Privacy by Default

When you create an account, all privacy protections are turned ON:

  • Profile visibility: Your profile is hidden from other organizations by default
  • Activity tracking: Your activity status and last-seen timestamps are hidden from other users by default
  • Email communications: You only receive essential account emails unless you opt into marketing updates
  • Data isolation: Your organization’s data is strictly isolated from other organizations on the platform
  • AI features: CARL requires your explicit opt-in consent before processing any of your data

You can review and adjust these settings at any time in your Account Settings.

5. Data Access and Isolation

All business data (contacts, jobs, invoices, vendors, uploaded files) is scoped to your organization. Other organizations on the Platform cannot see your data. Portal users (your customers) can only see the information you explicitly publish to them - catalog items, their own orders, invoices addressed to them, and live chat threads they participate in. Platform administrators at Dexly, LLC may access system-level data for support and maintenance purposes only, and are bound by confidentiality obligations.

6. AI Data Processing (CARL)

The Platform includes an AI assistant called CARL. When you enable CARL:

  • CARL may access your organization’s job data, contact records, invoices, and communications to provide contextual assistance such as drafting emails, summarizing jobs, and answering questions
  • AI processing occurs within your organization’s data boundary - your data is not shared with other organizations
  • We retain AI interaction logs (prompts and responses) for quality improvement and troubleshooting, scoped to your organization
  • You may revoke CARL consent at any time in your account settings, which stops all AI processing of your data going forward
  • We do not use your business data to train, fine-tune, or improve general-purpose AI models outside of your organization’s context

7. Inter-Company Communication and Live Chat

If your organization uses features that involve communication with external parties (vendor portals, customer portals, live chat), these communications are moderated within your organization by default. Specifically:

  • Live chat (Huddle): Real-time messages between your team and portal users are stored within your organization’s data boundary and are accessible only to participants and authorized team members
  • Proof approvals: Comments and approval decisions are tied to specific jobs and visible only to the relevant parties
  • Email notifications: Transactional emails (order confirmations, proof-ready alerts, invoice reminders) are sent on your behalf and contain only the information relevant to the recipient

Your account owner can enable or disable communication moderation and live chat. Dexly, LLC does not access the content of these communications except when required for platform security.

8. File Storage

Files you upload (artwork, proofs, documents) are stored in encrypted cloud storage and are accessible only within your organization’s data boundary. Files shared through the customer portal are accessible only to the specific portal users you authorize. We do not inspect, index, or analyze the content of your uploaded files except when processed by CARL at your request. Upon account termination, uploaded files follow the same retention and deletion policy as all other organization data (see Section 11).

9. Printer Network Data Sharing

When you outsource a job through the Printer Network, we share only the information necessary for production: job specifications, production files, and shipping details. Your organization’s identity, pricing, customer information, and broader business data are not shared with fulfillment providers. Fulfillment providers receive job data through secure channels and are contractually prohibited from using it for any purpose other than completing your order.

10. Your Rights

You have the right to:

  • Access: View all data we hold about you
  • Export: Request a full export of your data at any time
  • Correction: Update or correct your personal information
  • Deletion: Request deletion of your account and data
  • Opt-out: Opt out of non-essential communications and AI features
  • Portability: Receive your data in a standard format
  • Consent withdrawal: Revoke CARL AI consent at any time without affecting your use of other Platform features

11. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, you have 30 days to export your data before it may be permanently deleted. Backup copies may persist in encrypted form for up to 90 days for disaster recovery purposes. AI interaction logs are retained for the duration of your account and are deleted following the same schedule as your other data.

12. Security

We use industry-standard security measures including encrypted connections (TLS), hashed passwords (bcrypt), role-based access controls, isolated data environments, and encrypted cloud storage for uploaded files. We conduct regular security reviews of our infrastructure. Two-factor authentication is available for all accounts.

13. Third-Party Services

We use a limited number of third-party services to operate the Platform. These providers are bound by data processing agreements and only receive the minimum data necessary to perform their function:

  • Payment processing: Stripe handles subscription billing and payment collection
  • Communications: Twilio facilitates SMS notifications and two-factor authentication
  • Shipping: ShipEngine provides shipping rate calculation and label generation
  • Accounting: QuickBooks Online integration (optional, organization-initiated) syncs invoice data
  • Authentication: Google and Microsoft provide SSO identity verification (if you choose to sign in with these providers)
  • Print fulfillment: GlobalPrintAPI connects to the Printer Network for job outsourcing
  • Infrastructure: Cloud hosting, database, and file storage providers

We do not share your business data with any party for advertising or profiling purposes. Optional integrations (QuickBooks, Printer Network) are activated only when your organization explicitly connects them.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-app notice at least 14 days before they take effect. Continued use of the Platform after changes constitutes acceptance.
